Email Templates

Tradevine sends out emails at different stages of the trading process. Tradevine allows for customising these emails to suit your own needs.

The Email Templates screen can be found by selecting the Settings cog icon in the top right corner.

There are four emails sent to clients that can be customised:

  • Shipment – sent when items shipped
  • Purchase Order – sent to the supplier when a purchase is done
  • Reminder – sent to a buyer of a Trade Me auction requesting missing information
  • Sales Confirmation – Sent to buyer to confirm a purchase order

These emails have a default format, but can be customised to suit your requirements. Both subject and body of the email can be customised using any text you like. When you want to edit the email template, simply press Edit and change the text. When you are finished, press Preview to see the final result, as it will be sent, and then press Save.

At any point during the editing you can press Cancel to leave without making any changes, or press Use default to get Tradevine’s original default template for the given email.

Content Placeholders

Placeholders are keywords that are inserted into your email templates and will be replaced by the correct content when the email is sent, e.g. the placeholder {FirstName} will be replaced with your customer's first name.

The most common placeholders are listed on the right of the Email Template page. See below for the full list of placeholders available for each email.

Placeholders are not case-sensitive, but must be correctly spelled and contained within curly braces, i.e., {FirstName}

When previewing the email, placeholders will be replaced with example content (e.g. {FirstName} will be replaced with “Joe”). If, when previewing your email template, you find that a placeholder you have used has not been replaced, e.g. {First Name} appears in Preview as {First Name} instead of “Joe” then that placeholder was either misspelled or is not available in that template, and you should go back to edit and correct this.

Be sure to carefully review your email template preview and make sure all placeholders have been replaced with example content.

To make it quicker and easier to use placeholders, you can simply select the green placeholder name in the right-hand column to copy it, then click into your editing text box and paste (Ctrl+V on PC, Cmd+V on mac). In web browsers that do not have Flash enabled and in Firefox, you need to manually copy (CTRL+C on PC, Cmd+C on mac) after you select the green placeholder name.

Complete placeholder list

  • General – available to all emails
  • {Email} – your organisation's contact email.
  • {LogoLeft} – your organisation's logo, left-aligned.
  • {LogoRight} – your organisation's logo, right-aligned.
  • {OrganisationName} – your organisation's name.
  • {Phone} – your contact phone number.
  • {WebsiteLink} – a link to your organisation's website.
  • {WebsiteText} – a plain-text url to your organisation's website URL.
  • Shipment Template
  • {FirstName} – the first name of the email recipient.
  • {PersonalMessage} – when you send this email, you will be given the option to add a short message specific to that recipient.
  • {Products} – the product titles and the quantities purchased, displayed as a list.
  • {DeliveryNotes} – when you send this email, you will be given the option to add delivery notes specific to that order.
  • {Reference} – customer reference.
  • {SalesOrderNumber} – sales order number.
  • {ShipmentMethod} – the shipment method for the order.
  • {ShippingDate} – the requested shipping date for the order.
  • {ShippingMessage} – a short message containing shipping and tracking information for this order. This message is customisable at the bottom of the page and allows for different messages entered for pickup or shipped items.
  • {Source} – source of this sales order, will be either on Trade Me, on our online store or with us.
  • {Tracking} – courier and tracking information for relevant product(s). Note: this is only available within the {ShippingMessage} – If order is being shipped panel.
  • Purchase Order Template
  • {PersonalMessage} – when you send this email, you will be given the option to add a short message specific to that recipient.
  • {PurchaseOrderNumber} – purchase order number.
  • {Supplier} – supplier's organisation name.
  • Sales Confirmation Template
  • {FirstName} – the first name of the email recipient.
  • {Products} – the product titles and the quantities purchased, displayed as a list.
  • {Reference} – customer reference.
  • {SalesOrderNumber} – sales order number.
  • {ShippingDate} – the requested shipping date for the order.
  • {Source} – source of this sales order, will be either on Trade Me, on our online store or with us.
  • {Supplier} – supplier's organisation name.
  • Reminder Template
  • {AddressLink} – a link to Trade Me to submit a shipping address.
  • {AddressUrl} – a plain-text URL to Trade Me to submit a shipping address.
  • {CustomerName} – your customer's full name.
  • {FirstName} – the first name of the email recipient.
  • {Listing} – title of your Trade Me listing.
  • {ListingId} – Trade Me listing ID.
  • {ListingLink} – a link to your Trade Me listing, displayed by listing ID number.
  • {ListingUrl} – a plain-text URL to your Trade Me listing.
  • {PaymentLink} – a link to Trade Me to view your payment instructions.
  • {PaymentUrl} – a plain-text URL to Trade Me to view payment instructions.
  • {ReminderMessage} – a message informing the user of missing information. This message is customisable at the bottom of the page and allows for different messages entered whether payment is missing or the address is missing or both.
  • {ShippingDate} – the requested shipping date for the order.
  • {Source} – source of this sales order, will be either on Trade Me, on our online store or with us.
